We always aim to ensure that all clients are presented with the information they need to navigate all of our clinical services. It is our job to ensure that even the most complex issues are communicated clearly and effectively.
The privacy and confidentiality of your information is of utmost importance to us. We have clear guidelines to follow to protect your personal health information and we do all that we can to ensure its safety.
If you have any questions or concerns about any of our policies either before or after becoming a client we strongly encourage you to contact us with your questions.
In this section each policy is described in greater details.
Clinicians have a duty to keep your information confidential. However, in rare but serious circumstances they have the right or the obligations to break confidentiality (e.g., imminent risk of harm to self or others, abuse of children or older adults, sexual abuse committed by a registered health professional, legal issues, audits or investigations by a health professional’s board, etc.). Your clinician will review this information with you.
We need to gather information about you for different reasons (e.g., to provide services, to track your progress, and for administrative reasons). We safeguard your information through different means and we have an obligation to retain it for many years after services have been terminated. With very few exceptions, you have the right to see the information in your file and you can ask for errors to be corrected.
To cancel or re-schedule an appointment, please notify your therapist as soon as possible. Your therapist will review their policy for missed appointments and for late
cancellations with you. Most clinicians ask for a minimum notice of 24-48 hours. Missed appointments and late cancellations are subject to a fee usually ranging between 50-100% of the regular fee. Insurance companies do not cover the fees for missed sessions or late cancellations.
We have an online presence (e.g., Facebook, X, Instagram) to provide information about our clinic and share information about mental health. We do not interact with current or past clients and we do not accept friend or contact requests. As for online reviews, we are unable to respond to specific complaints due to confidentiality issues. If you want to share feedback about our services, we encourage you to do so by speaking with your clinician or our clinic manager.
Once you become a client at OICBT you will have access to a portal on our Owl platform. This portal will allow you to see your upcoming appointments, documents (e.g., receipts), and give you access to a Secure Messaging function allowing you to contact your clinician through a secure channel (note that all exchanges with your clinician are recorded and kept on file).
We can sometimes provide phone or video services to clients in provinces outside of Ontario and Quebec. Such services are regulated by the various Colleges that oversee our practice; whether we are able to provide inter-provincial services or not is a decision outside of our control and is subject to change without notice.
If you anticipate needing services while outside of Ontario or Quebec, make sure to inquire about this option prior to traveling or moving to another province.
